About the role

The Farmers Arms is a rural pub, cultural venue and community hub operated by Grizedale Arts in the Lake District.

Alongside its hospitality offer (bar, kitchen and accommodation), the venue hosts live music, talks, workshops, artist residencies, festivals, gardening activity and community events throughout the year.

We are seeking an organised, practical and collaborative Admin & Operations Coordinator to support the next phase of development at the venue during a period of operational transition and programme growth.

This is a key delivery role supporting the smooth day-to-day running of the site across programme activity, operations, logistics and compliance.

The role would suit someone confident working across hospitality, arts, events and community contexts within a small and adaptable team.

Main Responsibilities

Programme & Event Coordination

  • Coordinate logistics for events, workshops, talks, performances and festivals
  • Support visiting artists, facilitators and residency activity
  • Maintain programme calendars and venue booking systems
  • Coordinate venue setup/reset and event readiness
  • Support communications between programme, hospitality and operations teams

Venue Operations

  • Support the day-to-day operational running of the site
  • Manage bookings (accommodation, camping events)
  • Coordinate contractors, deliveries and maintenance scheduling
  • Oversee operational systems and site organisation
  • Assist with supplier coordination and general administration

Finance and Human Resources Administration

  • Oversee cash handling procedures including till reconciliation, banking, and float preparation
  • Complete comprehensive cash counts and sales reconciliation
  • Maintain organised, up-to-date HR records ensuring GDPR compliance
  • Support recruitment processes including visa/work permit applications and new starter documentation
  • Coordinate DBS checks and safeguarding procedures
  • Process Farmer’s Arms timesheets and monitor annual leave entitlements
  • Manage email accounts and IT access for new team members

Compliance & Facilities Coordination

  • Maintain Health & Safety records and operational checklists
  • Maintain organised filing systems for invoices, statements, and certificates
  • Coordinate supplier contracts, insurance renewals and vehicle compliance (MOT, tax, insurance)
  • Coordinate fire safety testing, incident logs and compliance documentation
  • Support utilities monitoring and facilities management
  • Maintain organised filing systems and operational records
  • Liaise with external contractors and service providers
  • Manage office supplies and provide first-line IT support

Front of House & Hospitality Support

  • Support major events and busy operational periods where required
  • Help coordinate volunteers and casual event staff
  • Work collaboratively with hospitality operators and venue users
  • Contribute to a welcoming and well-organised visitor experience
  • Monitor and respond to general enquiries via email and telephone / voicemail
  • Support online shop operations including order preparation and postage plus cash-up for cafe and honest shop
  • Support with Social Media and documentation

Person Specification

Essential

  • Excellent organisational and coordination skills
  • Experience working within events, hospitality, arts or community settings
  • Confident communication and problem-solving abilities
  • Ability to work flexibly and calmly within a busy multi-use environment
  • Good administrative and digital skills
  • Ability to manage competing priorities and work independently
  • Full UK driving licence and ability to work in a rural location

Desirable

  • Experience coordinating events or cultural programmes
  • Experience with venue operations or hospitality environments
  • Health & Safety awareness
  • Experience working within small organisations or multi-role teams
  • Familiarity with rural/community-based cultural work
  • Experience using booking/calendar systems and cloud-based administration tools
